Roles

Positions in the MBP GSA Executive

President

Role

  • Advocate for MBP students and communicate concerns at department and faculty levels
  • Run the monthly MBPGSA meetings
  • Act as a resource to the MBPGSA Council and student body

Responsibilities

  • Attend monthly MBP faculty executive meetings
  • Set agenda and date of monthly MBPGSA meetings; act as meeting chair
  • Attend annual meeting with Dean of Faculty of Medicine and other departments' student presidents
  • Communicate between and report to these meetings on behalf of the student body
  • Communicate with Uptown MBPGSA President and Council
  • Reliably communicate with MBPGSA Council and all students: answer questions (or refer to appropriate resource) and deal with student concerns in a timely manner
  • Bring any requests for Student Initiative Funding to the MBPGSA and if approved, inform the MBP office
  • Put out a call for questions/concerns to the students in the Fall, and stand up with these issues at the annual department meeting at Geneva Park
  • With the MBP office, help organize the MBP Open House (early November), recruit student volunteers, communicate with them about their responsibilities and organize the Open House volunteer appreciation dinner
  • Organize tour schedule and dinner for students at Interview Day
  • Be an active member of all the committees (JLM/Geneva Park/Social/Holiday Party)
    With the VP/social reps/webmaster, post academic/department news monthly on mbpgsa.ca or MBPGSA Facebook page
  • Speak on behalf of MBPGSA at the open house, interview day, new student orientation
  • Regularly participate in and attend MBP events (sports, social, academic)

Vice-President and Treasurer

Role

  • Keep social/sports reps on track with events and budgeting
  • Act as a resource to the MBPGSA council and student body
  • Manage the MBPGSA finances

Responsibilities

  • Attend monthly MBPGSA meetings
  • Communicate with Uptown Executive Committee to make sure events are open to all students
  • Communicate with the interdepartmental group for advertising/running these events
  • Manage with social/sports reps to set the year's event calendar (late Autumn), help to manage finances, and help with organising
  • Aid the president/social reps/webmaster, post academic/department news monthly on mbpgsa.ca or the MBPGSA Facebook page
  • Regularly participate in and attend MBP events (sports, social, academic)
  • Help out with word-of-mouth advertising of events (aka: bring your lab/floor to events!)

First Year Reps

Role

  • Represent the incoming MSc and PhD students
  • Address concerns that specifically pertain to new students
  • Encourage new students to attend events and be involved in the community

Responsibilities

  • Attend monthly MBPGSA meetings
  • Advertise events in your first-year classes
  • Organize the mentorship program for the next round of incoming students (summer/September)
  • Organize the New Student Social for the next round of incoming students (September)
  • Help with planning/organizing at least one other sports or social event
  • Regularly participate in and attend MBP events (sports, social, academic)
  • Help out with word-of-mouth advertising of events

UofT GSU Reps

Responsibilities

  • Attend monthly MBPGSA meetings
  • Attend GSU Orientation
  • Attend monthly GSU council meetings (October to April)
  • Report back to the MBPGSA Executive about the GSU Council meetings
  • Speak on behalf of GSU during the MBP orientation for the new and incoming students
  • Write posts for mbpgsa.ca every other month regarding GSU news and issues
  • Regularly participate in and attend MBP events (sports, social, academic) and discussions (at seminars and on mbpgsa.ca)
  • Help out with word-of-mouth advertising of events

Role

  • Represent the department of MBP to the GSU
  • Communicate news and concerns between MBP students, MBPGSA, and GSU

Secretary

Responsibilities

  • Attend monthly MBPGSA meetings
  • Take minutes (including ‘action items’) at each meeting, and email them to council
  • Put together two MBP newsletters (winter, summer): collect articles/photos from
  • Chair/faculty/staff/students; work with office staff to compile and proof the newsletter
  • Upload and manage these files
  • Regularly participate in and attend MBP events (sports, social, academic)
  • Help out with word-of-mouth advertising of events

 

Role

  • Manage the meeting minutes, event records, and other documents of the MBPGSA
  • Communicate MBPGSA related news to the department members
  • Remind council members of any upcoming MBPGSA related deadlines

Webmaster

Responsibilities

  • Attend monthly MBPGSA meetings
  • Post MBPGSA news on the website when asked
  • Keep website structure up to date an in line with the needs of the MBPGSA
  • Regularly participate in and attend MBP events (sports, social, academic)
  • Help out with word-of-mouth advertising of events

Role

  • Maintaining this website

Sports and Social Reps

Responsibilities

  • Attend monthly MBPGSA meetings
  • Work with Vice President in late Autumn to set the year’s event calendar
  • Organize diverse sports and social outings for MBP
  • Recruit help for running your events
  • Promote and advertise interdepartmental events
  • Advertise the sport/social events by email, posters, on mbpgsa.ca, Facebook
  • Organize MBP clothing if there is interest
  • Regularly participate in and attend MBP events (sports, social, academic)
  • With your enthusiasm, be the face of MBP student social events!
  • Advertise MBP events by word-of-mouth

Role

  • Encourage and develop the MBP social community through sports/social activities

Members-at-Large

Responsibilities

  • Attend monthly MBPGSA meetings
  • Help with planning/organizing at least one large organized event (JLM, Geneva Park, Holiday Party)
  • Help with planning/organizing at least one sports or social event
  • Regularly participate in and attend MBP events (sports, social, academic)
  • Help out with word-of-mouth advertising of events

Role

  • Serve as a representative to the MBP student population
  • Help out with running MBPGSA events

JLM Symposium Organizers

Responsibilities

  • Attend MBPGSA meetings when necessary to recruit volunteers & give symposium updates
  • Organize and attend symposium meetings to prepare for the event
  • Manage the logistics of the symposium, including:
    • Fundraising
    • Select and confirm a keynote speaker
    • Book rooms and facilities
    • Select and organize swag
    • Recruit and organize poster and judges
    • Select speakers
    • Organize lunch and reception
    • Advertise the event
    • Coordinate and help out on the day of the symposium

Role

  • Organize and run the annual Student Symposium

    Geneva Park Organizers

    Responsibilities

    • Attend MBPGSA meetings as required to recruit volunteers and give retreat updates
    • Attend Geneva Park meetings during the year
    • Decide on session topics, speakers, and chairs; recruit these people and communicate with them as to what their talk length time, topic, and role are
    • Communicate with Merle about programme
    • Get food/drinks for campfire
    • Send out Geneva Park survey following the retreat to get feedback

    • Plan and organize the scientific programme at the annual MBP department retreat
